When Your Maintenance Spreadsheet Stops Working: Signs It's Time to Switch
Almost every maintenance team starts in a spreadsheet, and plenty should stay there. Here's how to tell when yours has stopped working — and what the switch actually looks like.
There is nothing wrong with starting maintenance tracking in Excel or Google Sheets. It is free. It is familiar. For a shop with 3 machines and one maintenance person, it works fine.

The real cost of staying on a spreadsheet
The spreadsheet itself is free. But free is misleading. Here is what it actually costs:
- Missed PMs: The cost is not the missed PM, it is the failure it stops catching early — a bearing you would have heard, a filter that would have been $40. Price one emergency compressor rebuild at your site, including the production you lose waiting for the tech, and compare that to a year of software.
- Admin time: Time the maintenance manager spends re-typing completed work, chasing which copy is current, and rebuilding the same report every month is time not spent on the floor.
