Purchase Orders for Maintenance Teams: A Simple Guide
Most small maintenance teams buy parts the same way they always have: someone drives to the supply house, puts it on the company card, and maybe saves the receipt. Here's why that stops working — and how a simple PO process gives you cost control without the paperwork headache.
Why maintenance teams need purchase orders
A purchase order isn't just a piece of paper for accounting. For maintenance teams, POs solve three problems that get worse as your operation grows:
Cost visibility.Without POs, maintenance spending is a black hole. You know the total number on the credit card statement, but you don't know how much was spent on the CNC lathe versus the packaging line, how much went to emergency purchases versus planned buys, or whether you're paying more for the same parts than you did last quarter.
Budget control. When anyone can buy anything at any time, spending creeps up without anyone noticing. POs create a checkpoint — not to slow things down, but to make sure purchases are intentional and tied to actual work.

Step 1: Draft
A tech identifies a part need — usually during a repair or while preparing for a scheduled PM. They create a PO draft with the basics: what part, what quantity, which supplier, and estimated cost. If the purchase is tied to a work order, they link it. This takes 60 seconds.

Step 2: Submit for approval

Step 3: Approve and order

Step 4: Receive
