Maintenance Shift Handover: What the Next Technician Needs to Know

'Pump still down; parts ordered' leaves the next shift with several unanswered questions. Which pump? What has already been checked? Who is following up on the part? A useful maintenance handover gives the incoming team enough context to verify the situation and continue under the site's approved procedures.

Prepare the record before the shift ends

The UK Health and Safety Executive describes handover as preparation, an exchange between outgoing and incoming personnel, and a cross-check by the incoming team. Its guidance emphasizes two-way communication supported by both written and verbal information. A work-order note helps preserve the facts, but it does not replace that exchange.

Update the record while the details are available. Distinguish observations from suspected causes and completed work from proposed work. If a diagnosis is uncertain, write the uncertainty down. The next technician should not have to infer confidence from a short phrase such as 'probably bearing.'

Use a repeatable handover record

Adapt the fields to the job and your site's procedures. Keep the work-order or asset reference prominent so the handover can be connected to the repair history.

  1. Equipment and work-order reference, with the time of the update.
  2. Current equipment condition and the responsible operations contact.
  3. Work completed, observations made, and the evidence or procedure referenced.
  4. Outstanding work, missing information, and parts or contractor status.
  5. Named owner of the next action and when the team should follow up.
  6. Relevant permit or isolation record references, handled under the site's formal transfer procedure.

Turn a vague note into an actionable one

For a parts delay, record the exact item reference, who confirmed the requirement, whether it has actually been ordered, and the expected delivery status. 'Requested from purchasing at 14:20; order confirmation pending; Morgan following up before the morning planning meeting' is more useful than 'parts ordered' when no order has been placed.

For an unfinished diagnosis, list the checks already performed and their results, then identify the next approved diagnostic step or the person who will decide it. Keep a clear boundary between the maintenance note and permission to operate, restart, or transfer an isolation. Those decisions belong to the designated site process.

Confirm the incoming team understands

Allow time for questions and a cross-check of the important facts. Where the next shift cannot speak directly with the outgoing technician, define who provides the handover and how unanswered questions are escalated. A notification being sent is not proof that responsibility was understood and accepted.

After a week of using the format, ask the incoming team which details were still missing and which fields were repeated without helping. Adjust the template around actual handovers. Measure usefulness by fewer unresolved questions and clearer next actions, while keeping any required records intact.
