Fleet Maintenance Tracking Without Enterprise Software
A mixed fleet needs records that make sense for every unit: mileage for road vehicles, hours for equipment, and dates for time-based work. Start with consistent asset identities and approved service schedules, then make readings and completed maintenance easy to record.
Build a record for each unit
Give each truck, forklift, van, or yard vehicle a stable asset tag. Add identifying details such as the serial number or VIN, location, and the meter used for maintenance. Similar vehicles still need separate histories: their workload, accumulated usage, repairs, and next service points can differ.
Use the manufacturer's guidance and your approved maintenance program to establish tasks and intervals. Generic mileage or hour tables are starting points for discussion, not substitutes for the requirements of a particular model, duty cycle, or site. Record the source of each interval so someone can review it later.
Choose calendar, meter, or combined triggers
Calendar schedules suit work tied to elapsed time. Meter schedules suit tasks tied to accumulated usage. Where the approved program requires both, configure the usage interval and calendar backstop together. A heavily used forklift reaches an hour-based service point sooner than a spare truck. Compare current readings with the planned threshold and collect readings frequently enough to identify approaching work. Choose that frequency from actual usage and planning needs rather than assuming one weekly or monthly rule fits the whole fleet.

Import the latest readings from a spreadsheet
If readings are collected in Excel, RunTight's Meters page can import a CSV UTF-8 file with one latest reading per meter. Download the template, replace its example row, and use the meter identifiers and units shown in your workspace. Check the preview and fix reported errors before confirming the import.
This is a latest-reading workflow. Readings older than the current saved reading are rejected. A lower reading needs an explicit reason, such as a meter reset or correction, so a changed number does not silently look like ordinary usage. Review the recorded time as well as the value; blank times use the preview time.
Keep the collection routine simple: assign an owner, choose when readings are gathered, and check missing or unexpected values before using the schedule for planning. Importing a file cannot establish whether an operator read the correct physical meter.
Apply a PM template across suitable units
When multiple units share the same approved task, use Apply to units from the PM template. Select the intended assets and review the meter and next due reading for each one. A shared checklist does not mean every unit has the same service history or starting reading.
Keep separate templates when equipment specifications or approved service requirements differ. Before copying a task, check that its instructions, parts, units, and trigger type fit the destination assets. Review the resulting schedules so a convenient batch operation does not carry an unsuitable assumption across the fleet.
Keep inspections and service history understandable
Use the inspection process applicable to the vehicle, operation, and jurisdiction. Have the responsible person establish the required checks, timing, defect response, and records. A generic digital checklist does not establish regulatory compliance or authorize equipment to return to service.
Record the unit, observation, responsible person, and follow-up work. When maintenance is completed, capture what was found, what changed, parts used, and the relevant reading. Keep unresolved defects visible and link the repair to the original observation where possible.
Start with a manageable fleet group
- Confirm asset identities and current readings for a small group of units.
- Review the approved maintenance tasks and their interval sources.
- Configure each unit's meters and next service points.
- Practice the reading import with a reviewed file and inspect the results.
- Review approaching work with the people who can provide access, parts, and service.
